【Job Description】
Administrative
- Receive incoming calls and act as the first contact point
- Escort guests and arrange meeting room setup
- Book restaurants and hotels for company events
- Pick up mail and letters
- Handle housekeeping and driver communications
- Check and order stationery and office supplies
- Organize and oversee big cleaning events
- Order business cards and uniforms
- Building Coordination (access card, parking, facility management)
- Coordinate with landlord for TM30 application, prepare and submit 90-day reports
- Maintain and restock first aid box (check expiry dates of medicine)
- File and maintain administrative documents
- Record and tag fixed assets

Customer Service (Domestic)
- Respond to domestic customer inquiries (product information, stock availability, delivery dates, etc.) and resolve issues.
- Handle domestic customer purchase orders (POs).
- Verify PO details against quotations and process the orders.
- Issue domestic documents (D/O, I/V, tax invoices, receipts, billing notes, etc.) and ensure timely delivery to customers.
- Issue PO and submit to domestic suppliers.
- Communicate with the warehouse for stock management and update stock records in the system.
- Coordinate with transport service providers for timely deliveries to customers.

【Qualification】
- Age range: 25-30 years old
- Male and female (female is preferable)
- Bachelor’s degree in any field.
- 2 years of working experience.
- Experience in small Japanese trading company is beneficial.
- Experience in administrative task is a plus.
- Highly organized and detail-oriented
- Excellent multitasker
- Strong coordinating
- Flexible and adaptable
- English skill (a daily conversation level is acceptable)
